Terms of Service

These Terms of Service ("Terms") govern your use of the letbook.ai platform ("Service"). By creating an account or using the Service you agree to these Terms. If you do not agree, do not use the Service.
1. The Service
letbook.ai provides a multi-tenant booking platform. Individual facilities ("Companies") configure their own resources, programs, pricing, and policies. Your interactions as a customer (bookings, payments, memberships) are with the specific Company whose tenant you are using; letbook.ai operates the platform but is not party to the booking contract itself.
2. Geographic availability
The Service is intended for use by residents of Australia and the Asia-Pacific region. Residents of the European Economic Area (EEA), the United Kingdom, Switzerland, and other jurisdictions with specific data protection regimes (such as GDPR) should not create an account without first contacting us at support@letbook.ai.
We reserve the right to restrict or terminate access from jurisdictions where we are unable to offer the Service in compliance with local law. By creating an account you confirm that you are located in a supported region.
3. Account
- You must be at least 16 years old to create an account.
- You must provide accurate information and keep it up to date.
- You are responsible for safeguarding your password and for all activity under your account.
- We may suspend or terminate accounts that breach these Terms or applicable law.
4. Bookings, payments, and refunds
- Booking availability, pricing, and cancellation policy are set by each Company.
- Payments are processed by Stripe. You authorise the charge at the time of booking.
- Refunds (if any) follow the Company's cancellation policy. Refunds are issued as account balance by default; cash refunds to the original payment method are at the Company's discretion.
- Account balance has no cash value, cannot be transferred, and expires in accordance with the Company's policy or applicable consumer law.
5. Acceptable use
You agree not to:
- Use the Service for unlawful purposes.
- Attempt to gain unauthorised access to other tenants or users.
- Interfere with the integrity or performance of the Service (e.g. scraping, rate-limit evasion, credential stuffing).
- Reverse engineer, decompile, or attempt to derive source code except as permitted by applicable law.
- Submit content that is illegal, infringing, defamatory, or harmful.
6. Intellectual property
The Service (software, branding, design) is owned by letbook.ai and protected by intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to use the Service in accordance with these Terms.
6a. Subscriptions and auto-renewal
Where a Company offers subscription-based memberships or plans, subscriptions automatically renew at the end of each billing cycle (monthly or annually, as selected) unless cancelled before the renewal date. You may cancel at any time via the Account page or by contacting the Company directly. No refund is issued for the unused portion of a current billing period unless required by applicable law. We will send a reminder email before each renewal.
6b. Fee changes
letbook.ai may change platform fees with at least 30 days' prior written notice (by email or in-app notification). If you do not agree to the new fees, you may terminate your account before the new pricing takes effect. Continued use after the effective date constitutes acceptance of the revised fees. Company-set pricing (booking rates, membership prices) is at each Company's discretion and may change with notice as required by the Company's own policy.
7. Disclaimers
The Service is provided "as is" and "as available". We do not warrant that the Service will be uninterrupted, error-free, or free from loss. To the maximum extent permitted by law, we exclude implied warranties. Nothing in these Terms excludes rights that cannot be lawfully excluded under the Australian Consumer Law.
8. Limitation of liability
To the maximum extent permitted by law, letbook.ai's total liability arising from or connected to the Service is limited to the greater of (a) the fees you paid to letbook.ai (not to a Company) in the 12 months preceding the event, or (b) AUD $100. We are not liable for indirect, incidental, or consequential damages.
9. Indemnification
You agree to indemnify, defend, and hold harmless letbook.ai, its officers, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with: (a) your breach of these Terms; (b) your violation of any law or the rights of a third party; or (c) your use of the Service in a manner not authorised by these Terms. This indemnity obligation survives termination of your account.
10. Physical lock access (where enabled)
Where a Company uses RemoteLock integration, a temporary access PIN is generated for your booking window. You are responsible for safeguarding this PIN. Unauthorised use of a PIN, or access outside the booked window, may result in account suspension and is a breach of these Terms.
11. Privacy
Our collection and handling of personal information is described in our Privacy Policy. By using the Service you also agree to the Privacy Policy.
12. Changes to these Terms
We may update these Terms from time to time. Material changes will be announced on this page. Continued use of the Service after changes are published constitutes acceptance of the revised Terms.
13. Governing law
These Terms are governed by the laws of Western Australia and the Commonwealth of Australia. The parties submit to the exclusive jurisdiction of the courts of Western Australia, Australia, subject to any mandatory consumer protections in the customer's country of residence.
